Law Office located in Bergen County - seeks professional polished Executive Administrative Assistant to support 2 attorneys.
Essential Functions and Duties:
Provide high-level administrative support to two partners and other attorneys as needed
Prepare and proofread correspondence, memoranda, legal documents and forms
Greet clients and visitors; respond to phone calls; transmit messages accurately and promptly
Maintain organized and updated client files and matter lists
Maintain calendars and schedule appointments, meetings and conference calls
Prepare check requests, expense reimbursement forms, and client/matter forms; handle petty cash
Process incoming and outgoing paper mail, facsimile transmissions, and electronic mail
Scan, profile, and retrieve documents across multiple platforms
Liaise with building management, Office Services, Records, Accounting, and IT department
Knowledge, Skills and Abilities:
Ability to effectively multi-task, meet deadlines and excel in a team atmosphere
Expert Typist
Intermediate to advanced skills in Microsoft Word, Outlook and Excel (PowerPoint optional)
Familiarity with a Law Office timekeeping program
Familiarity with Cloud Based Email and document management system
Exceptional interpersonal and client relation skills
Exceptional verbal and written communication skills; excellent organizational skills
Knowledge of traditional and digital methods of dictation
Ability to work overtime (mornings, evenings and/or weekends) as needed
Education and Experience:
Associate’s degree or its equivalent and 5 or more years of related experience
